1. Scope

This policy describes the information JustTickets processes when you install or use the Discord bot, dashboard, or support features. It covers JustTickets, not Discord itself or third-party websites linked from it.

2. Information we process

  • Discord account and access data: Discord user ID, username/display information, avatar information when available, servers visible to the dashboard, and permissions Discord reports for those servers. This signs you in and determines which servers you can manage.
  • Server configuration: guild IDs, panel and category settings, channel and role IDs, ticket limits, permissions, appearance, auto-close options, rating settings, and related preferences.
  • Ticket records: ticket number, server and channel IDs, opener and staff IDs, category, status, priority, claims, assignments, participants, form answers, staff notes, close reasons, ratings, and timestamps.
  • Transcripts: when a transcript is generated, JustTickets fetches messages from that ticket channel and stores user messages (bot-generated messages are excluded), including author ID/tag, message text, attachment names and URLs, and timestamps. It does not need to read unrelated server channels to provide ticket features.
  • Blacklist records: a blocked user's Discord ID, display name when available, reason entered by staff, staff member who added the entry, and timestamps.
  • Essential cookies: a short-lived OAuth state cookie helps protect the Discord sign-in flow, and a signed HttpOnly session cookie keeps the dashboard session active. These cookies are required for authentication and do not track you across other websites.

3. Why we use it

We use this information to authenticate dashboard users, enforce server permissions, create and manage tickets, deliver mentions and notifications, save configured logs/transcripts/ratings, show server statistics, prevent blacklisted users from opening tickets, troubleshoot failures, and keep the service secure.

4. Where information goes

JustTickets sends requests to Discord to authenticate users and operate the bot. Configurations, ticket records, ratings, blacklist entries, and saved transcripts are stored in the service database. Discord, database, hosting, and authentication providers process information under their own policies. We do not sell ticket content or use it for advertising.

5. Retention and deletion

JustTickets runs a daily cleanup: closed ticket records are retained for 365 days after closure, and saved transcripts for 90 days after generation. These periods can be changed by the operator through the TICKET_RETENTION_DAYS and TRANSCRIPT_RETENTION_DAYS environment settings. Open tickets remain until closed. Server configuration and blacklist entries remain while needed by the server or until an administrator removes them. Backups and provider logs may have separate deletion windows.

6. GDPR rights and your choices

Where the GDPR applies, you may have rights to access, correct, erase, restrict, object to, or receive a portable copy of your personal data, subject to legal exceptions. The Discord server owner normally decides why ticket data is collected and is the primary controller for that server; JustTickets processes it to provide the configured service. You can stop using the dashboard, revoke Discord access, leave a server, or ask a server administrator to remove JustTickets data. For a privacy request, contact the JustTickets support server. Replace this with a dedicated privacy email before launch.

7. Security and changes

We use access controls, signed sessions, and provider security features, but no online service is completely risk-free. We may update this policy when the service changes; the last-updated date identifies the latest version. This page is an informational template and is not legal advice.
